Grant Administrator/Coordinator

Reporting to the Chief Financial Officer/Associate Director of Administration, the Grant Administrator/Coordinator is responsible for the pre-award planning, organization, and preparation, and the post-award administration of various grants assigned to one or more departments and faculty within LUMCON. The position interacts with investigators and administrative staff to ensure that grants are in compliance with regulatory, funding agency, and policy requirements. The Grant Administrator/Coordinator will provide guidance and support to investigators in the identification and development of grant opportunities.

LUMCON is looking for someone with a knowledge base of state, federal, and foundation grants and techniques of grant administration, organization, and management including an in‐depth understanding of the key issues that exist in a research and education institution.

LUMCON consists of ~ 100 staff including 9 full‐time research faculty, a marine educational group, and active development program. The position is directly responsible for overseeing ~10 M in grant funding. The position will join LUMCON during an exciting growth phase which include a new maritime campus in Houma, LA, the future operation of the 199’ R/V Gilbert Mason which is currently under construction, a growing development and funding portfolio, and increases in staff including new faculty.

Duties/Responsibilities

  1. Coordinates the planning and preparation of grant proposals for multiple departments and faculty; provides guidance and assistance to investigators in the interpretation of funding agency regulations and requirements.
  2. Serves as a liaison between investigators, granting agencies, and the administration in the budgeting and preparation of grant proposals; researches agency, state, and federal requirements and compiles and prepares comprehensive budget justifications for investigators.
  3. Prepares and compiles all components of each grant submission, ensuring that the proposal is formatted, packaged, and submitted in accordance with granting agency requirements.
  4. Develops and maintains specialized databases and systems for recording and tracking grant proposals, awards, and related statistical information; creates and distributes standard and special reports, studies, summaries, and analyses, as required.
  5. Develops and maintains a library of reference documentation, including such information as funding agency requirements and forms, investigator profiles and curriculum vitae, abstracts and reference literature, and other pertinent material.
  6. Provides advice and guidance to researchers on the application of grant funding policies, regulations, and procedures; facilitates and supports the research and identification of funding opportunities on behalf of investigators, as appropriate.
  7. Monitors and coordinates the administration of post-award grants to ensure that budgeting and administrative policies, procedures, and agency requirements are being followed; manages administrative problems and/or budget changes occurring during the awarded granting period.
  8. Maintains knowledge of grant funding policies, regulations, and procedures; disseminates and/or presents changes to departments and advises on the implementation of changes, and on the impact of changes on funded operations.
  9. Performs miscellaneous job-related duties as assigned.

Required Skills/Abilities

  1. Thorough understanding of local, state, and federal funding sources and the ability to find ne opportunities and potential sources for funding.
  2. Thorough understanding of grant funding policies and procedures and applicable local, state, and federal regulations.
  3. Excellent verbal and written communication skills.
  4. Thorough understanding of effective grant writing techniques.
  5. Proficient in Microsoft Office Suite or related software.
  6. Extremely organized and meticulous.
  7. Excellent project management skills and ability to prioritize work and resources.
  8. Ability to meet deadlines.
  9. Ability to interpret financial data and prepare budgets and financial grant reports.
  10. Ability to be discreet with personal information that may be needed for some grants such as employee salaries or upcoming projects.

Education and Experience

  • Bachelor’s degree in related field required.
  • At least three years of experience in grant writing experience highly preferred.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Louisiana Universities Marine Consortium

LUMCON promotes, facilitates, and conducts research and education in marine and coastal sciences relevant to the sustainability of coastal and marine environments in the Gulf of Mexico. In this aim, LUMCON strives to provide innovative models of scientific and educational programs and answers to scientific questions relevant on the national and international stage. In 1979, the Louisiana State Legislature created LUMCON with 2016 legislation placing LUMCON as a division of the Louisiana Board of Regents. The DeFelice Marine Center is located in Cocodrie, 85 miles southwest of New Orleans. By design, LUMCON’s location serves as an ideal and immersive location for research and education. The Marine Center is situated in the heart of the estuarine wetland complex. The Marine Center is a modern complex of research, instructional, residential, and support facilities. This includes 26,000 usable square feet of laboratory, classroom, office, and library space. Dormitory rooms and apartments provide Louisiana Universities Marine Consortium housing for up to 80 people. LUMCON operates and maintains one of the largest fleets of research vessels along the Gulf of Mexico. The icon of marine operations and the fleet is the 116′ R/V Pelican. The 58′ R/V Acadiana is well suited for both education and research in Terrebonne Bay and nearby coastal waters. The research vessels are complemented by a fleet of 14 small vessels. With nearly 100 staff, LUMCON encompasses an intrepid and resilient group from diverse backgrounds and with broad expertise. Each staff member is integral to the education, research, and consortium missions of LUMCON. The research conducted by the scientists is internationally recognized and impactful. Marine operations and vessel crews are known for their proficiency, professionalism, and determination. These challenges, in conjunction with the Marine Center’s remoteness, have created deep and lasting connections between the staff.
