Anchored by a first-rate marine laboratory, the DeFelice Marine Center, LUMCON is embedded in Louisiana’s dynamic wetland environment and conveniently located on a gateway to the open waters of the Gulf of Mexico. From this facility, LUMCON operates a world-class fleet of research vessels unmatched in the Gulf of Mexico. In 2023, LUMCON is expanding its programs through the opening of a maritime research and outreach facility in Houma.
Position Overview
LUMCON is seeking a highly organized, professional, and welcoming Front Desk & Guest Services Coordinator to serve as the first point of contact for our organization. This role is vital in ensuring a positive and efficient experience for all visitors, guests, researchers, and staff interacting with the LUMCON facility. The ideal candidate will be friendly, detail-oriented, dependable, and capable of handling a wide range of administrative and operational responsibilities with professionalism and discretion.
Minimum Qualifications
- High School Diploma.
- 2-3 years customer service or related experience.
- Must have exceptional oral and written communication skills.
- Ability to work with multiple software systems.
- Knowledge of administrative and clerical procedures.
- An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
Ideal Candidate/Preferred Qualifications
- State service experience.
- Reservation experience.
- Food service experience.
Essential Duties
Essential and other important responsibilities and duties may include, but are not limited the following:
- Warmly greet and welcome all persons entering the LUMCON facility, providing a positive first impression of our organization.
- Offer guided tours and deliver accurate information about LUMCON’s mission, facilities, programs, and ongoing initiatives to visitors and guests upon request.
- Direct visitors to the appropriate departments, personnel, or locations within the facility.
- Respond to in-person, telephone, and digital inquiries from the public, visitors, and partners in a courteous and professional manner.
- Monitor visitor access and maintain a strong awareness of security protocols to ensure a safe and secure environment.
- Manage and respond to incoming phone calls, voicemails, emails, faxes, and postal mail; ensure that all communications are directed to the appropriate recipients in a timely manner.
- Coordinate outgoing and incoming mail and packages; act as the primary contact for shipping and receiving services including UPS, FedEx, and others.
- Maintain accurate delivery records and ensure prompt distribution of packages to respective departments.
- Support general office operations and provide administrative assistance to other departments as needed.
- Oversee the full process of reservations for dormitories and apartments through the LUMCON reservation system in coordination with the Associate Director of Education and Outreach and the Aquarist.
- Create and manage reservations, generate invoices, and provide all necessary information and documentation (including policies, procedures, and check-in/out requirements) to visiting guests.
- Maintain and update the LUMCON reservation database with current and accurate records for housing and meal plans.
- Coordinate room and dorm inspections on a routine basis to ensure cleanliness, safety, and readiness for incoming guests.
- Distribute, collect, and maintain an accurate inventory of keys for dorms and apartments, ensuring timely return and proper key control.
- Provide timely support to the Finance Department in the invoicing process related to guest housing, cafeteria use, and other facility rentals.
- Liaise with the contracted catering company to manage meal schedules for visiting groups.
- Maintain cleanliness and organization in the kitchen area to ensure compliance with health and safety inspections.
- Submit meal requests and ensure food accommodations are aligned with dietary restrictions and group preferences.
- Monitor and adjust meal orders as needed to support accurate, timely, and budget-conscious food service and monitoring associated revenue.
- Assist with the processing and sales of merchandise such as t-shirts, mugs, and other branded items as needed for the Welcome Center or fundraising efforts.
- Support inventory control and invoice processing related to merchandise sales and promotional items.
- Exhibit a willingness to collaborate and assist other departments or teams within the organization as needed.
- Maintain a positive and professional attitude while handling multiple tasks in a fast-paced environment.
