LUMCON, a program of the Board of Regents, as a consortium is a statewide academic endeavor to focus and strengthen the effectiveness of foundational marine science needed to address the environmental and socioeconomic challenges facing Louisiana and the nation.

Anchored by a first-rate marine laboratory, the DeFelice Marine Center, LUMCON is embedded in Louisiana’s dynamic wetland environment and conveniently located on a gateway to the open waters of the Gulf of Mexico. From this facility, LUMCON operates a world-class fleet of research vessels unmatched in the Gulf of Mexico. In 2023, LUMCON is expanding its programs through the opening of a maritime research and outreach facility in Houma.

Position Overview

The LUMCON Receptionist/Customer Service Point of Contact will attend to visitors and accommodate all aspects of reserving/preparing/fulfilling the LUMCON experience. The POC will supply information regarding LUMCON to the general public, visiting researchers, students, and customers. The POC will verify and work with all attending departments to accommodate all visiting groups/scientists/guests. The POC will ensure all aspects of visitor accommodations are attended to including lodging and meals.

Minimum Qualifications

  • 2-3 years of customer service or related experience.
  • Must have exceptional oral and written communication skills.
  • Ability to work with multiple software systems.
  • Knowledge of administrative and clerical procedures.
  • An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.

Ideal Candidate/Preferred Qualifications

  • State service experience.
  • Reservation experience.
  • Food service experience.

Essential Duties

Essential and other important responsibilities and duties may include, but are not limited the following:

  • Greet persons entering LUMCON, provide tours and information to guests as requested.
  • Answer, respond, and direct phone calls, emails, faxes, and mail delivery.
  • Direct persons to the correct destination.
  • Deal with inquiries from the public and customers.
  • Monitor visitor access and maintain security awareness.
  • Accept and process payments for reservations.
  • Foundation Inventory Officer-processing t-shirts, coffee cups, etc. as needed for Foundation processing of invoices.
  • Distribute and collect keys for dorms and apartments.
  • Recordkeeping and providing input and support for quarterly and annual reports.
  • Maintain the LUMCON reservation database for housing and meals.
  • In coordination with the Associate Director of Education and Outreach & Aquarist, handle all aspects of LUMCON dorms and apartment reservations, through the LUMCON reservation system and make changes as necessary.
  • Create reservations, invoices, and supply all information, policies, requirements, and details to visiting guests.
  • Coordinate with the catering company in managing meal schedules and ordering necessary food products according to dietary restrictions and menus.
  • Provide support for invoicing of cafeteria, dorms, and apartments to the Finance Department.
  • Complete inspections of the housing wing on a regular basis.
  • Acts as the shipping and receiving coordinator by coordinating the shipping of packages to UPS, Fed Ex etc., checking in all packages, delivering to respective departments and processing delivery documentation.
  • Willing to assist other departments as necessary.
